Checklist history is where every completed checklist lands. The page lists each instance one row at a time with the template, the linked event (when applicable), the staff member who ran it, the start and completion timestamps, and the total duration. Filter to find a specific run, click the per-row menu to edit timestamps or delete an entry, or jump to history straight from the success screen after finishing a checklist.
Getting started
Navigate to Checklist history from the sidebar. The page also opens automatically after completing a checklist — the success alert ("Good job! Your reset has been recorded!") redirects you here with the new instance at the top.
How it works
Every time a team member completes a checklist via Checklists, an instance is saved here with timestamps. The page is filter-first: most of the day-to-day use is narrowing down by template, completion window, linked event, host, or who ran it, then reading the columns or jumping in to edit an entry.
The table renders one row per completed instance. Each row carries a three-dot menu for editing the timestamps or deleting the entry outright.
Step-by-step guide
Browse the history
Open Checklist history. The default view shows every completed instance in reverse-chronological order.
The toolbar above the table has five filter popovers plus a reset-all icon, a results counter, and a per-page selector.

Each filter has Reset and Update buttons inside its popover. The refresh icon next to the toolbar is Reset all filters — clears every filter at once.
The toolbar also surfaces Total results: N and a Per page selector (5 / 10 / 25 / 50).

Edit a timestamp
Click the three-dot menu on a row and pick Edit checklist (requires Checklist history update permission). The Edit checklist modal opens with four fields.

Click Save to commit. Cancel discards.
Edit timestamps when a host forgot to start the timer at the actual start, or when the system recorded a completion at a different time than the real-world one.
Delete a history entry
Click the three-dot menu and pick Delete checklist (requires Checklist history delete permission). The entry is permanently removed. There's no recovery flow — delete with intent.
Jump to a checklist's template
The per-row actions only edit or delete the history entry. To edit the template the run was based on (add a step, change a description, etc.), navigate to Checklists and edit the template directly. Changes to the template don't retroactively affect past history entries.

Good to know
- The redirect after completing a checklist brings you straight to this page. The newly completed instance appears at the top by default sort.
- Completion time is computed, not stored. It always reflects the gap between Started at and Completed at, so editing either timestamp recalculates the duration.
- Past completions are independent of the template. Changing a step name or adding a step in Checklists only affects future runs. Historical entries keep the steps as they were when completed.
- The Game master filter and Game filter are independent. Use them together to find all completions of a specific event run by a specific host.
- Deletes are permanent. There's no archive or restore. If you want to suppress an entry from reports without losing it, edit the timestamps to a sentinel value (e.g., far in the past) rather than deleting.
- Filter selections persist in the URL. Bookmark a filtered view ("checklists completed in the last 7 days by Alex") and return to it directly.
- Per-page persists across sessions. Pick 50 once and it stays.
FAQ
Q: Can I see which steps were completed on a past run?
A: Not from the history list. Each row shows the run as a whole (start, complete, duration). To see step-level detail, open the original checklist template in Checklists; past completions don't store per-step states.
Q: I edited a step on the template. Does the history entry update?
A: No. History entries are independent of the template. Past runs keep the steps as they were when completed; only future runs use the updated template.
Q: A host started the timer 5 minutes late. Can I fix the start time?
A: Yes. Open the three-dot menu on the entry, pick Edit checklist, change Start date and Start time to the real values, and Save. The Completion time column recalculates automatically.
Q: Why doesn't the entry I just completed show up?
A: Two possibilities: (1) a filter is hiding it (try Reset all filters); (2) your default sort isn't reverse-chronological (refresh the page to land on the latest first).
Q: I deleted a history entry by accident. Can I recover it?
A: No. There's no recovery flow for deleted history entries. Re-run the checklist if you need the record back, or use the Edit checklist modal next time instead.
Q: Can multiple history entries exist for the same booking?
A: Yes. If two team members each run the same checklist for the same booking (e.g., a pre-event opening check and a post-event reset), both completions land as separate rows.
Q: How do I export history to a CSV?
A: The history page doesn't have a built-in CSV export today. To pull history data outside the platform, filter the view in the browser and screenshot or copy-paste the rows.
Q: My role doesn't have the three-dot menu options. Why?
A: Edit checklist requires the Checklist history update permission and Delete checklist requires Checklist history delete. Ask an admin to grant them on your role in Custom roles.
