Last updated April 3, 2026

Automating Customer Availability

Booking Schedules are the rules that automatically generate the available time slots for your escape room games, defining when and which events customers can book.

1. Start the Schedule Configuration

Navigate to Schedules and ensure the Booking schedules tab is selected. Click + Create schedule to begin.

SettingRequirementDescription
Schedule NameRequired (Internal Use)Use a descriptive name for your team (e.g., "Standard Weekday Slots," "Extended Summer Hours 2025"). This is not visible to customers.
Schedule TypeSelect "Booking schedule"This ensures the schedule creates bookable time slots for customers (as opposed to resource allocation).
Associated EventsRequired (Multi-select)Select which games this schedule should create slots for. If you select "Mystery Mansion" and "Space Station," slots will be generated for both games.

2. Define Schedule Duration and Dates

The duration type is the most critical setting, as it controls the lifespan and priority of your schedule.

Duration Types

TypeLifespan and PriorityConfiguration RequiredBest Use Case
RecurringRuns indefinitely (no end date). This is your Lowest Priority base schedule.Start Date (Required)Standard, year-round business hours and regular weekly patterns.
FiniteRuns for a specific period (Start Date to End Date). Medium Priority—it overrides Recurring schedules.Start Date and End Date (Both Required)Seasonal hours (e.g., Summer/Winter) or special, temporary event runs.
Closed PeriodBlocks all bookings for the defined period. This is the Highest Priority—it overrides all other schedules.Start Date and End Date (Both Required)Holidays, venue maintenance, staff meetings, or any blackout dates.

3. Set the Initial Status

Before saving, you must decide if the schedule should go live immediately.

  • Active Status: Click Save with Active selected. The system immediately generates live time slots, making them available to customers for booking.
  • Inactive Status: Click Save with Inactive selected. The configuration is saved but no slots are created. Use this for planning future changes or if you need team approval before publishing.

Next Step: Once the schedule is saved, you will move on to define the specific days of the week and time intervals (e.g., slots every 60 minutes) in the next configuration screen.
