Overview
Your profile contains your personal information, preferences, and account settings. Keeping your profile up to date ensures you receive important notifications and helps your team members identify you in the system.
Accessing your profile
Navigate to Settings > My Profile from your dashboard to access your personal settings.
The profile page has three main sections:
- Profile settings
- Site settings
- Change password
Profile settings
Personal information
First name: Your given name as you'd like it to appear in the system.
Last name: Your family name or surname.
Nickname: An optional casual name or preferred name that your colleagues may know you by.
Email address: Your email for system communications and login. This field cannot be changed here for security reasons. Contact your administrator if you need to update your email address.
Phone: Your contact phone number. The system supports international numbers with automatic formatting based on your country.
Birthday: Your date of birth (optional). This may be used for birthday notifications or analytics.
Profile picture
Your profile picture appears next to your name throughout the platform and helps team members identify you at a glance.
To upload a profile picture:
- Click "Upload New Image"
- Select a photo from your computer
- The preview will update immediately
- Click "Save" at the bottom to confirm
Photo recommendations:
- Use a clear, professional headshot
- Ensure good lighting and resolution
- Square photos work best
- Keep file size under 2MB
- Supported formats: JPG, PNG, GIF
Your role and access
The profile page displays your current role and group assignments:
Role: Your system role determines what features and areas you can access (e.g., Admin, Manager, Staff). You cannot change your own role - this must be done by an administrator.
Groups: Shows which company groups you have access to. Group assignments control which locations or divisions you can view and manage.
If you believe your role or group assignments are incorrect, contact your administrator.
Saving profile changes
After updating your profile information:
- Review your changes
- Click "Save" at the bottom of the Profile settings section
- You'll see a confirmation message when changes are saved
Changes take effect immediately.
Site settings
Customize how the platform looks and behaves for you personally. These settings only affect your own view - other users can set their own preferences.
Site mode (Light mode / Dark mode)
Choose between light and dark color schemes based on your preference and working environment.
Light mode:
- Bright background with dark text
- Better for well-lit environments
- Traditional appearance
- May be easier to read for some users
Dark mode:
- Dark background with light text
- Reduces eye strain in low-light conditions
- Modern appearance
- May save battery on some devices
To change your site mode:
- Go to the Site settings tab
- Toggle the switch between Light Mode and Dark Mode
- The interface changes immediately - no need to save
- Click "Save" to persist your choice
The setting is saved automatically and will apply every time you log in.
Change password
Keeping your password secure is essential for protecting your account and your company's data.
When to change your password
- Every 90 days as part of good security practice
- If you suspect your password has been compromised
- If you've shared your password (which you should never do)
- If prompted by your administrator
- After using a public or shared computer
Password requirements
Your new password must:
- Be at least 6 characters long
- Be different from your old password
- Not be easily guessable (avoid simple passwords like "password123")
Strong password tips:
- Use a mix of letters, numbers, and symbols
- Make it at least 12 characters for better security
- Use unique passwords for different accounts
- Consider using a password manager
- Don't use personal information (birthdays, names, etc.)
Changing your password
To change your password:
- Go to the Change password tab
- Enter your current password in "Old Password"
- Enter your desired new password in "New Password"
- Click "Change Password"
If successful:
- You'll see a green success message
- Your password is changed immediately
- You can continue using the system normally
If there's an error:
- Read the error message carefully
- Common errors:
- "Old password is not correct" - You entered your current password incorrectly
- "Password must be at least 6 characters long" - Your new password is too short
- "Too many requests" - Wait a few minutes and try again
Password reset vs password change
Password change (this feature):
- You know your current password
- You want to update to a new password
- Done from within your profile
Password reset (different process):
- You've forgotten your current password
- Done from the login page
- Requires email verification
If you've forgotten your password, you cannot change it here. Log out and use the "Forgot password" link on the login page instead.

Protecting your account
Keep information current:
- Update your email if it changes
- Keep your phone number current for security notifications
- Review your profile regularly
Password security:
- Never share your password with anyone
- Use a unique password for this system
- Change your password if you think it's been exposed
- Don't write passwords down in unsecured places
Session security:
- Always log out when using shared computers
- Don't stay logged in on public devices
- Close your browser completely after sensitive sessions
- Enable two-factor authentication if available
Privacy considerations
What information is visible to others?
- Your name and profile picture are visible to all users in your company
- Your role and group memberships may be visible to managers and administrators
- Your email may be visible to administrators
- Your phone number and birthday are typically private
Controlling your information:
- Only upload a professional profile picture
- Use a professional email address
- Consider what nickname you use
- Keep personal information minimal
