The simple event tracker lets you quickly record event results from a single page. All your bookings for the day are listed in a table, each with inline fields you fill out and submit on the spot. No steps, no wizard, just fast data entry.
Getting started
Navigate to Events > Event tracker from the sidebar. If your group is set to simple mode, you'll land directly on the table view. To switch modes, go to Events > Event tracker settings and select Simple mode.
How it works
The simple tracker shows all bookings for a selected date as rows in a table (on desktop) or as expandable cards (on mobile). Each booking has its own set of fields and its own Submit button. You fill in the data for one event, submit it, and move on to the next. There are no steps or drafts to manage.
Step-by-step guide
Viewing bookings
- Use the date picker to select the day you want to view
- The page shows a table titled "Events for [selected date]"
- Each row shows the event name, assigned staff, booking time, and player count
- Hover over the player count to see a list of names
To view past bookings that haven't been submitted yet, click View incomplete forms. This switches to a view titled "All incomplete forms" showing unsubmitted bookings across all dates. Click View forms by day to switch back.
Filtering events
Use the filter buttons above the table to narrow down what you see.
- Click the Event button to open the event filter
- Select one or more events from the dropdown
- Click Update to apply, or Reset to clear
- Click the Staff button to filter by assigned staff member (includes an "Unassigned" option)
Filling out event data
Each booking row includes inline fields. Fill them out directly in the table.
Always shown:
- Start time and End time (time pickers, both required)
Optional fields (shown when enabled in your settings):
- Team name (text input)
- Number of hints (number input, required when visible)
- Number of breaks (number input, required when visible)
- Completed (toggle switch)
- Corporate (toggle switch)
- Custom time (text input in HH:MM:SS format)
Tip: On mobile, all fields are stacked vertically within each booking card instead of spread across table columns.
Taking a photo
If the photo field is enabled, a photo column appears in the table.
- Click the + icon (desktop) or Take photo button (mobile) to upload a photo
- Once uploaded, the photo thumbnail appears in the row
- Use the replace icon to swap it, the delete icon to remove it, or the edit icon to apply an overlay
- Toggle Email to group to send the photo to players after submitting
Editing overlays:
- Click the edit icon next to a photo to open the overlay modal
- Select an overlay from the dropdown (shows name and aspect ratio)
- Preview appears automatically
- Click Apply overlay to save, or Clear overlay to remove an existing one
- Click Cancel to close without changes
Overlays can auto-apply when you take a photo if your admin has configured default overlays for specific events.
Submitting
- Fill in the required fields (start time, end time, and any required optional fields)
- Click the Submit icon (checkmark on desktop) or Submit button (mobile)
- A success message confirms the form was submitted
- If "Email to group" is toggled on, the photo is sent to players automatically
Each booking is submitted individually.
Good to know
- Simple mode is set at the group level, so all event hosts in your group use the same mode
- Fields marked "Advanced only" in your event tracker settings won't appear, even if they're toggled on
- The table only shows bookings for the selected date. Switch to "View incomplete forms" to find past bookings you haven't submitted yet
- Filters are preserved in the URL, so you can bookmark or share a filtered view
FAQ
Q: I see "No upcoming bookings today" but I know there are bookings. What's wrong? A: Check the selected date in the date picker, and make sure no filters are applied. If you have active event or staff filters, try clicking Reset in each filter popover.
Q: Is any data lost when I switch from advanced to simple mode? A: No. Your advanced settings are preserved. They're just hidden. If you switch back to advanced mode, everything will be as you left it.
