Creating Custom Resource Slots

Overview

Here's a quick guide on creating custom resource slots for managing non-game resources like party rooms, equipment, or staff.

To create a resource slot:

  1. Go to Bookings > Bookings
  2. In List View, click "Create new" dropdown, then select "Custom resource slot"
  3. In Calendar View, click any unoccupied space in the Resources column
  4. Specify the slot's start and end date/time, and toggles mentioned below, then click "Save"
Options nameWhat it doesWhy it matters
Add resource to categoryAssigns the resource to a category you define. If certain rules are in place, the system can detect if enough of that category (ex. Axes, Lanes) are available.Not all resources have to be staff members. Some experiences may require certain items or supplies to facilitate.
Block events with insufficient resource coverageWhen enabled, when the system detects there's less available resources than experiences available, the slots will change status to "Blocked"This helps your business operationally such the system accounts for how many resources are available to host your experiences.
Block slots with the following statusSelect from "Blocked" or "Call to book". You define the type of status your business wants the slots to become when there aren't enough resources.Blocking slots outright can turn away business almost definitely. Setting slots "Call to book" could enable your business to take in an extra appointment with a few adjustments if your resources are flexible enough.
Include event start/end time in block ruleWhen enabled, slots that start or end at the same time are treated as overlapping.For a single resource, it can be impossible to be in two places at once. Leaving this disabled helps with ensuring slots are treated as overlapping.
Apply blocking rule to all eventsWhen enabled, the above blocking rules will apply to all experiences you have available.This option keeps blocking rules simple, however not all businesses are alike. If certain events can remain unblocked regardless if resources are unavailable, then configure this to reflect your preferences.
Auto-unblock when bookings changeWhen enabled, blocked slots will automatically become available when resource capacity allows. It is evaluated on any booking change or resource slot updated.This helps your business keep slots available if the status of bookings is volatile. In most cases, this can be left disabled, however it is up to your authorized staff to set slots back to "Available" manually.
Assignment PriorityDefines the order of priority the resource will be allocated to an event when concurrent resources exist.A resource with an Assignment Priority of "1" will always be assigned first if free. This enables prioritization on specific resources and can be configured to put favorable resources up front before others.
Concurrent eventsNumber of events this resources can support at the same time.Some businesses are capable of running multiple events per resource. Adjust this this to your liking. Note: when a resource (staff member, room, equipment) is unavailable for a period, operators can set the concurrent events to "0" to automatically block bookings that would require that resource.
Assign to a bookingSelect a booking from a search field and dropdown to manually assign a resource to a specific booking.The system may not always assign the resources in a way you would prefer, but how it views the best way to handle it with the rules you place. Best practice is to set it up such that you don't need to manually adjust often, however it can be done if necessary.

Party room bookings, special equipment rentals, staff assignments, meeting room reservations, and photo op sessions could be considered a resource with certain businesses if what it takes to facilitate them are finite and can't be in multiple places at the same time.
